The Company

National Will Safe is a dynamic, fast growing company. The directors have a wealth of experience running document storage facilities as part of their own Willwriting businesses.

Paul Sharpe, Chairman of the Institute of Professional Willwriters, has been writing Wills since 1990 and started storing documents in 1993. he now has the documents for over 5,000 clients in storage.

Jane Barlow, Council Member of the Institute of Professional Willwriters, has been writing Wills since 1988. As well as running her own Willwriting business, she has run her own franchise organisation and a stand alone document storage business.

National Will Safe

In developing the National Will Safe System, we have looked at bringing together a storage facility that meets the needs of both the Willwriter and the client.

As a result of our experience and hindsight it is operated in a very different way to how we operate our own storage facilities.

We are delighted that National Will Safe has become the recommended storage facility for members of the Institute of Professional Willwriters and we look forward to working with you.

The Background

While document storage can be - and is - a fantastic opportunity for any Willwriter to increase their income and provide long term financial stability for their business - it is not without disadvantages both for the Willwriter and the client. Typical issues that the Institute of Professional Willwriters is seeing in its office are:

  1. Who deals with any request for document access while the Willwriter is on holiday, or ill?
  2. What happens to the documents stored by Willwriters who cease trading or who disappear, either suddenly, or over a period of time?
  3. Where to physically store documents? Keeping them in the office or at home is not a realistic option.
  4. What happens to the documents when the Willwriter retires or dies?
  5. The only viable fee collection facility for small businesses is by standing order, whereby fixed payments are made by the clients bank from the client to the Willwriter. This creates the following issues:

    • Sometimes the instructions are set up incorrectly by the bank.
    • Sometimes the mandate is not set up by the bank at all.
    • There is no mechanism to move the mandate if the client moves his bank account.
    • And the biggest problem - there is no mechanism to increase payments.
    • For sole trader Willwriters, on retirement, there is no mechanism to re-direct standing order payments from their bank account to the bacnk account of a buyer of the business. New mandates have to be completed and this will seriously affect the saleability of the business.

This lack of flexibility causes real problems, frequently they only become apparent after several years of trading when there are hundreds, if not thousands of documents in storage. By then it is too late to do anything about it.

The National Will Safe System

  • Maintains your clients documents (Wills, EPA's and documents referred to in the Will) in safe custody in a central storage facility. The facility is used by Birmingham and Wolverhampton Health Authorities to store patient records - so is safe and secure!
  • Documents are posted to our Freepost address - at no cost to you.
  • Provides insurance for the documents for their replacement should they be lost or damaged while in the custody of National Will Safe Limited. National Will Safe also has Professional Indemnity Insurance of £2million to cover any claims that may occur as a result of our negligence.
  • Provides you with full colour leaflets, personalised with your business name, to give to your client to explain the system.
  • Provides your client with plastic identity cards to give to his Executors. They have your contact details in large text and our details in small text as the emergency contact.
  • Provides a proven sales script that typically results in a greater than 90% conversion into storage.
  • Allows the client free access to his documents at any time.
  • Advises you of any requests for access coming directly to us and to allow you the option to have the documents returned to you, for onward return to your client or his personal representatives. Alternatively the documents can be returned directly to the client or his personal representatives by Royal Mail Special Delivery.
  • Collects payments directly from your client by direct debit. Direct debit payments can be increased at anytime without a new instruction from your client. They are transmitted to the client's bank electronically so they will always be set up correctly and payments will always be made correctly.
  • Collects whatever fee that you tell us to collect from your client annually.
  • Continues to pay you your commission in retirement and deal with the document access requests directly with the client - a useful way of funding your Professional Indemnity Insurance and your retirement.
  • At any time (including on death) allows your Commissions to be assigned (and therefore sold) enabling you to convert your income to a lump sum.
